How to Run a Successful Pilot

1. Pre-Pilot

Microsite Build

Primerli will build a branded microsite for your company, giving all pilot users access to the agreed industry primer courses.

Socialize with Your Peers

We encourage you to share the microsite with multiple internal stakeholders (leadership & management) to get their buy-in and support. We've created a few draft emails for you below, some of which I hope are useful.

Getting Exec / Leader Support

Executive support is crucial for pilot success. By aligning the pilot with business strategy and clearly communicating its value, you can secure necessary resources and overcome obstacles of pilot user-engagement.

Select Pilot Users & Groups

We recommend a minimum of 50, but preferably >100 users for your pilot group spread across junior to senior level and across a range of client-facing roles.

2. Pilot Launch

Pilot Promotion

We recommend a very simple, 4-stage process.

Stage 1, What’s Coming

An email goes out to pilot users outlining the reason for the pilot, their benefit, and the support needed from them (see template).

Stage 2, We’ve Gone Live

An email announcing the launch, with practical instructions & timelines (see template).

Stage 3, Exec Endorsement

We recommend that an exec leader is copied in and is privately asked to ‘Reply All’, giving their support to the pilot (see template).

Stage 4, Reminder to Engage

Mid-way through the pilot, send an email to all users to nudge further engagement (see template).

3. During Pilot

Interim Reporting

Primerli will regularly report on pilot activity, e.g., microsite visits, primer starts, completions, ratings, and feedback etc.

Reminder Emails

Primerli will send a simple reminder email to any pilot user who has not yet completed the primer they started

4. After Pilot

Results

Primerli will provide a comprehensive final report on  pilot-results including all raw data and summarized statistics

Business Case

Primerli will build a tailored slide deck to support your company's specific business case for Primerli, including demand analysis and summarized pilot results

Frequently Asked Questions

Are there any technical requirements for us to run a pilot?

Very little. Pilot users will simply need access to the internet.

Very occasionally, a pilot user might experience issues with our video player. If this happens, we recommend checking your browser setting to ensure cookie is enabled, and changing your network configuration (e.g., connecting to a company-provided VPN). If the issue persists, please contact Chloe Gao (chloe@primerli.com) for tech support.

Who should we have as our pilot users?

We encourage a abroad set of pilot users across seniority levels and roles. Industry knowledge is vital for many roles, so it is good to get feedback across various teams. Your client-facing people often have the biggest need, as they need to be credible and agile with clients.

If you have internal subject-matter experts (SMEs), then they can also be used to validate the content quality. They are less likely to learn anything new from the primers as they already have industry expertise, however their role in reviewing the content is useful.

How long can we run the pilot for?

Typically we run a pilot for between 3-6 weeks, but speak to your Primerli contact to agree a time window that works.

What is the best timing for the pilot?

It is very important to time the pilot well and to avoid key moments in the quarter where engagement might be lower in some teams. If necessary, the pilot can be staged for different teams in order to avoid timing conflicts.

Will Primerli contact pilot users directly?

We might email users who have started a primer course but who have not completed it yet. We only do this if the pilot engagement is lower than expected, and when we feel more data points are needed. Just tell us if you would prefer us not to nudge pilot-users.

What pilot metrics and data do we receive?

Courses starts & course completions for each industry primer

User ratings (on a scale of 1 to 5)

User feedback (Great/Good/Average etc.)

User relevancy score

User written feedback

What happens after the pilot?

We will analyse the results and have a debrief meeting with you. We will draw conclusions together and decide on the best next steps. It might be ready to build a business case to present to the Executives for their consideration.
